Explanation of the grade and appeal for written exams at KMD
If you get a result on a written exam that you believe is incorrect, you have the right to appeal the assessment that has been made. You can also appeal if you believe that formal errors have been made during the exam.

Explanation of the grade
You have the right to receive an explanation for the grading of your work (University and University Colleges Act § 11). In the case of oral exams, trial lectures and concerts, the request for such an explanation must be presented immediately after the grade has been given. In the case of written exams, the deadline for requesting an explanation is one week from the time the grade is announced.
To request an explanation, contact the study administration at the department in question by email, eksamen.kmd@uib.no. The email must include your full name, candidate number, phone number, course code and title of the course.
The processing of the explanation for grading can take up to 3 weeks.

The explanation will normally be given within two weeks of you requesting it. In the explanation, the examiner(s) will state the general principles that have been used as a basis for the assessment. The explanation will be given orally or in writing at the examiner's choice.
Appeal against a result
If you receive a result on a written exam that you believe is incorrect, you have the right to appeal the result (cf. § 11 of The University and University Colleges Act). We recommend that you first ask the department responsible for the course for an explanation for the result (see above).
You cannot appeal the outcome of the appeal. It is not possible to appeal against the result of an oral exam, trial lecture, exhibition or concert (cf. § 11 of The University and University Colleges Act).
The deadline for appealing the grade is three weeks after the explanation has been received.

Recognition of previous education
If you have an education from another university or university college in Norway, which you want to have included in your degree, you must apply for recognition. You do not need to attach documentation to this application.
You can also apply for recognition of education from abroad as part of your study programme at UiB. In the case of foreign education, it is important to be able to document the entire education with a transcript of grades and/or diplomas that show the scope, level and content of the education.

Recognition and registration of examen philosophicum or examen facultatum
Do you have an ex.phil from UiB? Then you do not need to apply. The course is automatically added in your education plan.
Do you have ex.fac from UiB? Submit an application form.
Do you have introductory courses from other Norwegian educational institutions? Submit an application form to have these approved.

Valid absence
If you are absent from compulsory teaching activities due to circumstances listed in UiB's study regulations § 5-5 (1), you may apply for valid absence:
- the student’s own illness that makes the completion of teaching or examinations impossible or unreasonable to demand,
- illness of children in the care of the student, within the limitations set out in Section 12-9 of the Working Environment Act
- death of a close family member or of others the student has a close relationship with, for a period of up to two weeks from the death,
- funerals, etc. of people in close family or with whom the student has a close relationship,
- statutory obligation to be present elsewhere (ex. in court, military service etc.) and
- other circumstances that make it completely unreasonable to demand that the student attends at this point.

Deadline: No later than 2 weeks after the absence.
Change in study progression
Admission to our study programs at KMD requires full-time study (except for PPU, which can be part-time). If you need to change your study progression as an individual accommodation of your studies due to illness or other valid reasons, please contact your study advisor who will assess your education plan in relation to this.

Extension of right to study
For some study programmes at KMD, you may apply for extra time to complete your studies as an individual accommodation due to illness or other valid reasons. If you have any questions about this, please contact your study advisor.

Undocumented break from studies at KMD

Who may take a break from their studies without documentation?
Bachelor's Programme in Musicology
(Students in the study programmes in art, music and design, master's level in the five-year integrated master's programme in music therapy, the one-year studies in PPU and all study programmes that take courses over two semesters, and who wish to take a leave of absence in the spring semester must apply for a documented leave of absence)
When you have a break from a course of study, you do not have to pay the semester fee or confirm your education plan, and therefore you cannot take any exams. You cannot have a break for less than one semester. Please contact your study advisor if you have any questions.
The deadline for reporting an undocumented break from studies is 1 September in the autumn semester and 1 February in the spring semester.

Documented leave of absence at KMD

Who must apply for documented leave?
Students in:
- all performing and creative study programmes in art, music and design
- master's level in the five-year integrated master's programme in music therapy
- one-year programme in practical pedagogical education at KMD
- all study programmes that take courses over two semesters, and who wish to take a leave of absence in the spring semester
Valid reasons for leave of absence
You may apply for a documented leave of absence from your study programme on the basis of important welfare reasons, according to UiB's study regulations § 5-2 (1):
- in connection with pregnancy, childbirth and care of children in accordance with § 10-6 (2) of the Universities and University Colleges Act.
- in case of illness that does not make it possible to continue the studies,
- if the cohabitant, own children or parents etc. are severely ill,
- in connection with the performance of a duty of service pursuant to §17 of the Defence Act,
- in connection with positions in student political bodies and other weighty political offices, or
- when other special circumstances speak in favor, such as elite sports.
If you are unable to take an exam due to illness or similar, you must remember to withdraw from the exam before the withdrawal deadline. It is not possible to withdraw from scheduled performance and creative examinations, without an approved application with a valid reason, cf. Regulations relating to studies at the University of Bergen §5-5.

Who cannot apply for leave?
Leave of absence will not be granted for:
- active students at other Norwegian educational institutions who only take single courses at UiB
- exchange students from a foreign university
- external candidates for special examinations («privatist»)
- new students on the basis of paid or unpaid employment at the start of their studies
- students who take single courses at UiB
Application, documentation and processing
There is no set deadline for applying for documented leave, but it is recommended that you apply well in advance of the planned leave. If possible, we want you to apply within the same deadlines as for undocumented break from your studies and preferably before the start of the semester.
Applications are processed in accordance with UiB’s study regulations § 5-2. Leave of absence and can only be granted for a minimum of one semester and up to one year at a time, mainly from the autumn semester. Extended leave is only granted in special cases. When granting leave of absence, the tutor contract must be altered accordingly. You retain your right to study while you are on leave and your educational plan will be prolonged accordingly.
To be granted documented leave, you must attach the necessary documentation that is relevant to your application. Please do not send this by email but upload it in the application form. The application will be treated as sensitive information. If you are applying for leave of absence for academic reasons, for example to take other courses outside the programme, you must attach confirmation from your tutor.
Necessary documentation may be:
- medical certificate
- confirmation of due date/ birth certificate/ documentation of adoption
- notice of military service
- documentation of political duty/appointment
- documentation of the circumstances stated as the reason
Students on leave granted according to § 5-2 can choose whether or not they want to pay the semester fee. Students who have registered for exams must pay the semester fee even if they are on leave. Contact your study advisor if you have any questions.
For pregnancy, birth and adoption, leave shall be granted in accordance with The University and University Colleges Act § 10-6 .
In the event of compulsory military service, leave of absence shall be granted in accordance with § 17 of the Defence Act.

Finances and personal property
Financial support
Financial support for students in the master's programme at the Grieg Academy - Department of Music
Students in a master's programme can apply for financial support for, for example, data collection, fieldwork, participation in a conference or final exam concert. The support can be used to cover travel expenses, conference fees, and other expenses.
For particularly costly travel, support of up to NOK 5000 can be granted, corresponding to two grant decisions. A complete application form must be sent no later than two weeks before the start of the initiative. The processing time is normally 3 weeks. The application must include the recommendation of your tutor/supervisor and budget.

Personal property, insurance, damage and compensation
The Faculty of Fine Art, Music and Design at the University of Bergen cannot as a state institution take out insurance on behalf of students. Therefore, the institution does not have insurance for the loss or theft of, or damage to personal property. KMD encourages consequently all students to take out their own travel, theft, personal and property damage insurance. For study trips or exchange abroad, it is mandatory to have adequate travel insurance. It is the responsibility of each student to ensure that their insurance policies are valid during the study period.
KMD seeks to prevent damages by maintaining relevant safety routines and keeping the building stock in order, as well as by providing information on use of its premises and equipment. It is expected that students actively keep up to date on regulations and follow these. It is furthermore expected that compulsory HSE courses are completed by all students, and that students have completed relevant safety-courses for workshops, if this is a requirement for the use of the premises, machinery and/or equipment.
What is considered personal property?
Personal property refers to all assets, equipment, and inventory that a student acquires for their activities as a student and uses on premises either owned or rented by the faculty, or at external locations. Personal property additionally includes all objects that a student makes, stores and/or displays in those premises.
Compensation
The Faculty of Fine Art, Music and Design may be liable for damages in the event of negligence on part of faculty employees, or due to defects in buildings and/or technical equipment. Students who believe they have a legitimate claim for compensation must submit the claim to the institution in writing as soon as possible after the incident has taken place.

Any claim for compensation must include a detailed description of the circumstances of damage or loss, as well as a thorough description of the extent — including documentation. The claimant must clarify which form of compensation is requested. If the claimant has documentation of costs relevant to the claim, this must be attached.

Transcript of records with digital signature
You may order a transcript of records with a digital signature on Studentweb. This is digitally signed i.e., it is valid without a handwritten signature, shown in programs like Adobe Acrobat Reader.
Confirmation of student status
You may order a digital confirmation of student status in StudentWeb the same way as for the transcript of records, just choose “Confirmation of student status” under “Orders” in the top menu.
It confirms that you have an active education plan at UiB (i.e. that you are registered for the semester), which study programme you are attending, the time of commencement of your studies and the planned date of completion of your degree. This is digitally signed i.e., it is valid without a handwritten signature, shown in programs like Adobe Acrobat Reader.

Confirmation of degree
Graduation Diplomas are issued digitally upon completion of the degree at latest by August/September in Studentweb. Please download this before your UiB account closes within two months after your graduation.

Exchange - approval
You must apply for prior approval of courses you plan to take, before you go on exchange, and for approval of the study you have completed after you return from your stay abroad.

Tutor contracts
Once you have been assigned a tutor by your Department, you must sign a tutor contract. In each master's programme, in addition to the bachelor's programme in Fine Arts, it has been defined when you must sign the contract. The contract states who your tutor is and how many hours of tutoring you are entitled to. It otherwise defines the rights and duties between the tutor and the student.
The contract must be signed by both the student, tutor and head of department and will be archived by the study section at KMD.
