HySchool Travel Grants

HySchool will have a limited budget for travel grants for admitted PhD candidates every year from 2023 to 2030. The research school offers three types of grants, and each PhD candidate can only receive a given type of grant once. For study stays abroad, the available budget is limited to about two grants per year. The grant applications will be evaluated by the Project Management Team (PMT) and a committee with representatives from the Board. Application deadline is 1. December for travels during spring semester and 1. June for autumn semester.

General requirements and deadlines

The following general requirements apply to all the three types of travel grants:

  • A PhD candidate can only receive a given type of grant once.

  • The PhD candidates must submit regular travel expenses to the academic institution responsible for his/her PhD program. This institution can then invoice HySchool (UiB) for the total funding granted to PhD candidates from the organisation at the end of the year/semester.

Application deadlines:

  • Applications for support for courses, conferences and study stays abroad during the autumn semester of 2025 (i.e. from 1 July to 31 December) must be submitted by 1. June 2025.

  • Applications for support for courses, conferences and study stays abroad during the spring semester of 2025 (i.e. from 1 January to 30 June) must be submitted by 1 December 2024.

Applicants will typically be notified within 2-3 weeks of the application deadline.

The three grants offered by HySchool are:

#1: Support for attending a PhD course

A PhD-candidate admitted to HySchool can apply for a travel grant for attending a PhD course at a Norwegian university or university college, or at an international university.

The following requirements apply:

  • HySchool will grant up to NOK 10 000 per student to cover documented travel expenses.

  • HySchool will only reimburse documented costs AFTER the student has passed the course.

  • The course must be part of the training component (mandatory course work) of the PhD project.

For application deadlines etc., see General Requirements below.

The application must include:

  • The course code and the title of the course.

  • The period the student intends to follow the course.

  • A link to the website for the course description.

  • Whether the PhD candidate has applied for funding from other sources.

  • A letter of recommendation from the supervisor.

#2: Support for attending an international conference or summer school

A PhD-candidate admitted to HySchool can apply for a travel grant for attending an international conference where he or she will give a presentation, or an international summer school.

The following requirements apply:

  • HySchool will grant up to NOK 20 000 per student to cover documented travel expenses.

  • HySchool will only reimburse documented costs AFTER the student has completed the activity.

  • The PhD candidate must commit to give a presentation at a HySchool webinar, (unless the application has already given a presentation at a HySchool webinar).

  • For conferences, oral presentations will be prioritised over poster presentations.

  • For summer schools, it is a requirement that the topic of event has relevance for the PhD project.

The application must include:

  • For a conference, the title and a brief description/abstract of the presentation/paper/poster.

  • For a summer school, the title of the summer school and a brief description of the activities.

  • A link to the website for the conference or summer school.

  • The estimated dates for the travel (departure and return).

  • A confirmation of acceptance from the conference or summer school (if possible).

  • Whether the PhD candidate has applied for funding from other sources.

  • A letter of recommendation from the supervisor.

#3: Support for a study stay abroad

A PhD-candidate admitted to HySchool can apply for a study stay abroad.

The following requirements apply:

  • HySchool will grant up to NOK 50 000 per student to cover documented travel expenses.

  • HySchool will only reimburse documented costs AFTER the student has completed the activity.

  • The duration of the stay should typically be 1-3 months.

  • Shorter research stays can be considered, but the duration cannot be less than 1 week.
  • For research stays shorter than 1 month the maximum amount stated above will be reduced.
  • The PhD candidate must commit to present a travelogue from the research stay at a HySchool webinar and/or as an article in a HySchool Newsletter.

The application must include:

  • A description of the purpose of the stay and the planned research activities.

  • A preliminary budget for the costs the grant should cover.
  • The period the student intends to stay abroad or at another organisation in Norway.

  • A link to the website of the organisation or research group the student plans to visit.

  • Whether the PhD candidate has applied for funding from other sources.

  • An invitation letter from the organisation or research group the student plans to visit. 

  • A letter of recommendation from the supervisor.
