1. The application process at UiB 

Q: Can I get someone else’s place if they withdraw? 

A: Unfortunately, UiB does not have a queue system in Søknadsweb for exchange applications. All students will receive an exchange agreement. If the student declines the spot, it will be lost. There is no opportunity to be considered for another exchange agreement.

2. Erasmus grant

Q: When will the scholarship be paid out? 

A: You will find the answer here.

Q: What happens if I don’t hand in the OLA and grant agreement before the deadline? 

A: You will not lose your Erasmus scholarship if you hand it in after the deadline. If the necessary documents are handed in after the deadline, the scholarship will be paid out later in the semester. 

Q: What happens to the Erasmus scholarship if I fail a course? 

A: The scholarship is calculated based on the duration of your stay. If you fail a course or end up with less than 30 ECTS, you will still receive the same amount. 

Lånekassen has other requirements for loans and grants. If you take less than 30 ECTS on exchange, you should look at Lånekassen’s requirements on their websites. 

 

3. Courses on exchange

Q: Can I take courses from other faculties/subjects than the one I belong to at the host university? 

A: Erasmus agreements are subject specific agreements and students are nominated to a given field of study. If you take free courses on exchange and wish to take courses from other fields than you are nominated for, you must contact the host university yourself to see if it is possible. 

Q: What happens to the study progression/degree if I fail a course? 

A: You will most likely have to complete the missing ECTS in another semester. Contact your study advisor. 

4. Online Learning Agreement (OLA)

Q: The host university has not signed the OLA. What should I do? 

A: Send an email directly to the host university to check. Alternatively, you can send the OLA as a PDF to the host university and ask them to sign that version instead of the online version OLA (Erasmus Dashboard). 

If you are already present physically at the host university, it is recommended to go to campus and ask for a meeting at an international office or information center. 

Q: How do I know that I have signed the OLA, and that it has been forwarded? 

A: You can check this in several ways. You should be able to see in the system that you have signed the OLA and that it has been forwarded to your study advisor. It is also possible to download a PDF version of the OLA and find your signature on this document. 

Q: I have changed some courses after I sent the OLA, do I have to make changes in the OLA? 

A: If you change the courses you take during your exchange, you must contact your study advisor to confirm that you can change them and have them approved as part of your degree. It is also possible to update your Learning Agreement/OLA and have it resigned by all three parties (optional). You can do this in the OLA system. You do not have to send a copy of the updated OLA to erasmus@uib.no

5. Confirmation of Erasmus Period (CoEP)

Q: Do I have to hand in Confirmation of Arrival? 

A: No, you do not have to hand in proof that you have arrived at the host university. We only require confirmation of the entire period of your exchange. This must be signed by the host university towards the end of your stay and sent to erasmus@uib.no

Q: Can I include language courses in the start date of the exchange? 

A: No, language courses are not a part of the ordinary Erasmus scholarship. If you wish to apply for an additional language course scholarship through Erasmus, see the information here. 

Q: I am taking the last exams externally in Bergen. Can I include the date of the last exam as “Date of departure” in CoEP? 

A: The dates in CoEP reflect the period you had to be physically present at the host university and must be the last day you were present. For instance, if you have exams in January and don’t travel back to complete these physically, but complete them in Bergen, this period shall not be included in CoEP.
