Erasmus-exchange in Europe

Hovedinnhold

End of stay - checklist

Erasmus

This page is for those of you that have travelled home from Erasmus exchange (student exchange or traineeship) or are about to travel home.

1. Signed documentation of exchange period (CoEP) → 2. Fill out the rapport from European Commission → 3. Deadlines and final payment → 4. Apply for recognition of courses arboad → 5. Write a report to UiB

1. Signed Confirmation of Erasmus Period (CoEP)

The host university must confirm the dates you were on exchange by filling out and signing the Confirmation of Erasmus Period.

It is also okay if they sign a document of their own as long as the start and end date is clear. This must be handed in before you can receive the last Erasmus scholarship payment.

It is these dates that decide the size of the Erasmus scholarship and how much you will receive after the end of your stay.

  • Start date: first day of lectures or welcome day.

  • End date: the last day the student must be present at the host university (exams or lectures).

The period must be at least 60 days in order to qualify for an Erasmus scholarship for studies.

This is the link for the UiB template of Confirmation of Erasmus Period

2. Fill out the report from the European Commission

When your exchange period is over you will automatically receive an email from the European Commission to your UiB student email address. Here you will receive a link to a report/questionnaire that you have to complete.

You must complete this before you receive the last Erasmus scholarship payment.

3. Deadlines and final payment

When you have completed the two points above you are qualified to receive the remainder of your Erasmus scholarship. Normally the amount is approximately 30% of the total scholarship, but if the exchange period has been shorter or longer than the ones the grant agreement is based on, the final payment will be adjusted accordingly. The payment can thus vary from student to student.

Deadline for handing in Confirmation and fill out the report:

Exchange in autumn semester: 30. January
Exchange in spring semester: 30. August

Date for final payment

Autumn semester           last week of February
Spring semester             last week of September

What happens if I don’t make the deadline?

You do not lose the last part of your Erasmus grant if you hand in the documents after the deadline. If the Confirmation or a completed report is handed in after the deadline, the final payment will come later.

Students that do not hand in Confirmation or complete the report from the European Commission may have to pay back the Erasmus grant.

Date for late final payment

Autumn semester        April
Spring semester             November

4. Apply for recognition of courses abroad

This must be done after you have received the transcript of records. You must send the application for final confirmation to your faculty.

All students must apply for approval of the courses they took during the exchange to get them approved for the degree they take at UiB.

You will find the form and more information here

5. Write a report to UiB

Your experiences from your exchange are valuable to future exchange students and we want all students to hand in a report from their exchange to UiB.

Please submit the report here. It will be published at UiBs webpages about partner institutions.
