Service packages and rental rates

We have two different service packages, self-service and service package. See package descriptions and current room rental rates below

UiB Learning Arena will accommodate many different types of events, from simple courses and seminars where you as an organizer manage on your own, to larger, complex conferences where there will be a need for both technical and practical assistance.

    We have two different packages:

    • Self service package
    • Service package

    What is included in the two packages is slightly different in the seminar rooms vs Storsalen, see description below.

    Packages in the seminar rooms: 

    SELF SERVICE PACKAGE:

    Included: 

    Standard setup: group setup (group table with 4-6 chairs per table)

    As an organizer, you are responsible for:

    • Bringing your own PC for presentations, etc.
    • Setting up a different layout in the room as desired
    • Receiving your own participants at the reception or inside Nordre/Søndre Allmenning
    • Informing participants about fire and escape routes
    • Resetting to the standard setup (group setup) after the event
    • Leaving the room tidy (cups/plates etc are placed out on the clearing stations)
    • Ordering desired catering from Smauet café: See menu options and ordering procedure

    SERVICE PACKAGE:  

    Included: 

    • Setup of the desired layout in the booked seminar room: group tables, horseshoe, conference or cinema setup.
    • Simple AV technical startup help, if needed
    • Welcome of participants (not conference registration)
    • Cleaning in connection with lunch/catering
    • Event professional advice, including inspection in advance if desired
    • Review and quality assurance of schedules for the day

    As an organizer, you are responsible for: 

    • Bringing your own PC for presentations, etc.
    • Informing participants about fire and escape routes
    • Ordering desired catering from Smauet café: See menu options and ordering procedure

    Additional services that can be ordered separately, if needed

    • Dedicated host throughout the entire event (NOK 500,- per hour, minimum 5 hours)

    Packages in Storsalen:

    SELF SERVICE PACKAGE:

    Included: 

    • Standard setup in Storsalen: Cinema 180 people.
    • Access to self-service AV equipment: Projector and screen, lectern with microphone, 2 handheld microphones, 2 lapel microphones

    As an organizer, you are responsible for: 

    • Bringing your own PC for presentations, etc.
    • Conducting presentations, including switching between speakers
    • Receiving your own participants at the reception or in Nordre Allmenning
    • Playing an audio file in Storsalen that informs participants about fire and escape routes
    • Ordering desired catering from Smauet café: See menu options and ordering procedure
    • Leaving Storsalen tidy (cups/plates etc are placed out on the clearing stations)"

    Not included:

    • Sound/Image Technician (cannot be ordered as part of the self-service package)

    Optional services that can be ordered (for an additional fee):

    • Setup of a different layout than standard (round tables or conference setup with tables): NOK 3100,-
    • Dedicated host throughout the entire event (NOK 500,- per hour, minimum 5 hours)

    SERVICE PACKAGE:

    Included: 

    • Setup of the desired layout in Storsalen (cinema, conference or round table setup)
    • 1 technician (image technician or sound technician, depending on need)
    • Event professional advice, including review of schedules
    • Inspections and event technical review
    • Host available throughout the entire event, who can take care of:
      • reception and welcome of participants (not conference registration)
      • follow-up and practical help in connection with catering
      • cleaning along the way

    As an organizer, you are responsible for: 

    • Sending over files in advance of the event, as agreed with the event technical coordinator

    • Ordering desired catering from Smauet café, in consultation with the arena coordinator and Sammen/Smauet café: See menu options and ordering procedure

    Optional services that can be ordered (for an additional fee):

    • Extra techincian (sound/image/light - as needed): NOK 7100,- 
    • Streaming: NOK 24 500,-
    • Digital participation, external participants: By agreement
    • Sound recording: By agreement 

    Facilities and services for all tenants, regardless of package:

    The following facilities/services are standard and available to all organizers, regardless of service package

    • Access to the desired room 30-60 min. before the start of the event, by agreement
    • Access to mingle areas and social zones in Nordre and Søndre Allmenning, for breaks, lunch execution, etc
    • Access to coffee stations in Nordre and Søndre Allmenning, for participants at the event (before the start of the event)
    • Access to open wardrobes and suitcase rooms
    • Access to group rooms/support rooms, by agreement
    • IT assistance on call during the day between 08.00 - 16.00

    Standard rental terms, apply to all events/all rooms: 

    • Max. rental time for full-day events: 9 hours (events lasting up to 8 hours)
    • Max. rental time for half-day events: 4.5 hours (events lasting up to 4 hours)
    • Cancellation deadlines:
      • Self-service events:
        • Within 1 week before the start of the event
      • Service package events with extra personnel (hosts, technicians):
        • Within 3 weeks before the start of the event

    Rental rates:

    The prices below apply to the rental of Storsalen and the seminar rooms, respectively, for full-day events lasting up to 8 hours. Note: The prices may be slightly adjusted in 2024

    • Half-day events up to 4 hours = 50% of the daily price (for half-day events in Storsalen with a service package, the price must be clarified with the arena coordinator)
    • There are also three smaller group/support rooms (capacity 2-4 people). These can be booked along with the other seminar rooms at no extra cost
